Welcome to Cultural Voyagers. These Terms & Conditions explain the arrangements that apply when you book our domestic and international tours or request travel services. Please read them alongside your quotation, itinerary, booking confirmation, and any applicable airline, hotel, cruise operator, or other supplier conditions.

Our Travel Services: Cultural Voyagers provides travel planning and booking assistance for group tours, honeymoon trips, corporate travel, customized holidays, educational tours, visa facilitation, air tickets, hotel reservations, transportation, cruises, and destination wedding travel. The services included in your booking will be specified in your written confirmation.

Acceptance of Terms: By confirming a booking and making the required payment after receiving these terms, you agree to the conditions applicable to your reservation. If you book on behalf of other travelers, you are responsible for sharing the itinerary, payment requirements, and relevant conditions with them and obtaining their authorization.

Booking Requests and Confirmation: Submitting an inquiry, requesting a quotation, or completing a reservation form does not guarantee availability or confirm a booking. Reservations become confirmed when Cultural Voyagers issues written confirmation after receiving the required payment and obtaining the relevant supplier confirmations. Please check all booking details promptly and report any errors.

Traveler Information: Names must match the travel documents used for the journey. You are responsible for providing accurate contact details, dates of birth, passport information, and other requested particulars. Incorrect or incomplete information may result in additional charges, processing delays, denied boarding, or cancellation under the relevant supplier’s conditions.

Prices and Quotations: Prices are quoted in the currency shown and remain subject to availability until confirmed. Airfares, accommodation rates, exchange rates, taxes, and supplier charges may change before confirmation. Your quotation will identify the included services and any known exclusions. Any proposed changes after confirmation will be communicated with the available options.

Reservations and Payments: Unless your written quotation specifies different requirements, tour bookings require a 50% payment at confirmation, with the remaining 50% payable 7–10 days before departure. Certain flights, hotels, cruises, promotional offers, wedding arrangements, and last-minute bookings may require earlier or full payment. The payment deadlines stated in your confirmation apply to your reservation.

Late or Incomplete Payments: Failure to pay by the agreed deadline may cause suppliers to release reservations or cancel services. Cultural Voyagers will communicate applicable deadlines and any resulting changes. Rebooking remains subject to availability, revised prices, and supplier charges.

Package Inclusions and Exclusions: Only the services expressly listed in your confirmed itinerary or quotation are included. Meals, baggage, entrance tickets, optional excursions, tips, insurance, local taxes, resort fees, and personal expenses are excluded unless specifically stated. Please request clarification before paying if an inclusion is unclear.

Cancellations and Refunds: Cancellation requests must be submitted in writing through our official contact channels. Any refund depends on the cancellation conditions disclosed for your booking, the timing of your request, work already completed, and amounts recoverable from suppliers. Applicable service charges and non-refundable items will be identified before confirmation. Refund amounts and estimated processing times will be communicated after assessment.

Changes and Rescheduling: Requests to change names, dates, destinations, accommodation, passenger numbers, or other arrangements are subject to supplier approval and availability. Fare differences, amendment fees, and additional service charges may apply. We will provide the available options and costs before proceeding with a requested change.

Visa Facilitation: Cultural Voyagers assists with visa information, documentation, and application arrangements within the agreed service scope. Visa approval, processing times, validity, and entry permission are determined by the relevant authorities. Our assistance does not guarantee approval. Applicants must provide truthful information and attend appointments or interviews when required.

Visa Refusals and Delays: A visa refusal or processing delay does not automatically make flights, accommodation, tours, or other booked services refundable. The cancellation conditions for each reservation continue to apply. Visa application fees and completed facilitation work may be non-refundable where disclosed before purchase.

Passports and Entry Requirements: Travelers are responsible for holding suitable passports, visas, permits, transit documents, and other documents required for their route. Requirements depend on nationality, destination, transit points, and personal circumstances. Please check current requirements with the relevant official authorities before booking and again before departure.

Air Ticket Bookings: Air tickets are subject to the operating airline’s fare rules and conditions of carriage. Baggage allowances, check-in deadlines, seat selection, name corrections, changes, refunds, and missed-flight arrangements vary by fare. Cultural Voyagers can assist with requests, but airline approval and applicable charges govern the outcome.

Hotel and Resort Reservations: Accommodation bookings are subject to the confirmed property, room category, occupancy, meal plan, and cancellation conditions. Early check-in, late checkout, adjoining rooms, specific views, and other preferences require separate confirmation. Properties may collect security deposits, local taxes, or incidental charges directly where applicable.

Transportation and Transfers: Transfers and private transport operate according to the confirmed route, pickup details, passenger numbers, and luggage requirements. Please provide accurate arrival information and report changes promptly. Additional stops, extended waiting, route changes, or extra vehicle requirements may incur charges, which will be explained where practicable before the additional service is provided.

Group Tours and Itinerary Adjustments: Group tours follow a planned itinerary, but weather, road conditions, access restrictions, supplier changes, or safety concerns may require adjustments. Where a material change becomes necessary, Cultural Voyagers will explain the available alternatives and any applicable price adjustment or refund for services that cannot be supplied.

Honeymoon and Customized Trips: Personalized itineraries are prepared around the preferences and budget agreed during planning. Romantic dinners, room decorations, upgrades, private experiences, and other special arrangements are included only when confirmed in writing. Requests remain subject to availability and any conditions imposed by the relevant property or provider.

Corporate and Educational Tours: Corporate retreats, conferences, institutional visits, and educational trips may require a separate proposal or agreement. The organizing representative must provide accurate participant details and communicate relevant requirements. Responsibilities for supervision, safeguarding, permissions, accessibility, and emergency contacts must be agreed before travel, particularly where minors participate.

Cruise Bookings: Cruises are subject to the cruise operator’s booking and passenger conditions. Cabin categories, boarding requirements, gratuities, dining, excursions, onboard purchases, and cancellation rules vary. Flights, visas, transfers, shore activities, and pre- or post-cruise accommodation are included only where expressly listed.

Destination Wedding Travel: Wedding-related bookings may involve separate agreements with venues, hotels, planners, decorators, and other providers. Cultural Voyagers’ responsibilities are limited to the services expressly agreed in writing. Legal marriage requirements, ceremony arrangements, guest commitments, deposits, and cancellation conditions must be clarified before confirmation.

Travel Insurance: We recommend suitable travel insurance for your destination, activities, and personal circumstances. Where insurance assistance is requested, coverage applies only after a policy has been issued and payment requirements have been met. Benefits, exclusions, eligibility, and claims decisions are governed by the insurer’s policy terms.

Health, Accessibility and Special Requirements: Please disclose relevant mobility needs, accessibility requirements, dietary restrictions, or other assistance requests before confirmation. We will explain available arrangements and seek supplier confirmation. Travelers should obtain appropriate medical advice about fitness to travel, vaccinations, and destination-specific health requirements.

Traveler Conduct and Safety: Travelers must follow applicable laws, reasonable safety instructions, and the rules of transport operators, accommodation providers, and activity organizers. Respectful behavior toward fellow travelers, staff, and local communities is expected. Serious misconduct may result in withdrawal of services where justified, subject to applicable law and the relevant provider’s conditions.

Third-Party Services and Responsibility: Airlines, hotels, cruise companies, transport operators, and other providers may supply parts of your journey under their own conditions. Cultural Voyagers will exercise reasonable care in providing its agreed services and assist with resolving supplier issues. Nothing in these terms excludes responsibility that cannot lawfully be excluded or limits rights available under applicable law.

Events Beyond Reasonable Control: Severe weather, natural disasters, government restrictions, airport closures, civil disruption, public health emergencies, and similar events may affect travel arrangements. We will communicate available alternatives and assist with changes or recovery of supplier payments where possible. Any additional costs or refunds will depend on the circumstances and applicable booking conditions.

Personal Belongings: Please safeguard passports, money, luggage, electronics, and other valuables throughout your journey. Report loss, theft, or damage promptly to the relevant provider and local authorities where appropriate. Claims against airlines or other carriers must follow their reporting procedures and deadlines.

Photography and Marketing: Any use by Cultural Voyagers of identifiable traveler photographs, videos, or testimonials for promotional purposes will be subject to appropriate permission. Please communicate photography preferences before travel and obtain consent before sharing identifiable images of other guests.

Privacy and Personal Information: Personal information provided for inquiries and bookings may be shared with relevant suppliers or authorities where necessary to arrange the requested services. Our separate Privacy Policy should be read for details about how personal information is collected, used, retained, and protected.

Feedback and Complaints: If a problem occurs during your trip, notify Cultural Voyagers and the relevant service provider promptly so that a practical solution can be explored. For an unresolved complaint, contact us with your booking reference, a description of the issue, and supporting documents. We will review the matter and explain the available resolution.

Applicable Law and Disputes: These terms are subject to applicable laws of Pakistan and any mandatory protections relevant to your booking. We encourage customers to contact us first so that concerns can be addressed through discussion. Nothing in these terms removes access to remedies or forums available under applicable law.

Changes to These Terms: Cultural Voyagers may update these terms for future bookings. The version supplied or made available when your booking is confirmed will apply to that booking, together with any changes subsequently agreed in writing.
